How ERPTron collects, uses, protects and shares information when you use our website and platform.

We collect the minimum information required to operate, secure and improve our platform. This happens when you fill a form on this website, request a demo, raise a complaint, or when your institution uses the ERPTron platform.

Information you give us

  • Contact details such as name, email address, phone number and institution name.
  • Professional details such as role, department and preferred contact time.
  • Complaint details, including descriptions, references and any attachments you choose to share.
  • Billing details processed for subscriptions, such as billing address and GST information.

Information collected automatically

  • Usage data such as pages visited, features used and time spent, collected in aggregate.
  • Technical data such as browser type, device type and approximate region, used for security and performance.

Student records, fee data, attendance and academic information entered by institutions inside the ERPTron platform belong to the institution and are governed by the institution's agreement with us. We process that data only to provide the service.

How we use your information

  • To respond to enquiries, schedule demos and provide the services you requested.
  • To operate, maintain, secure and improve the platform and its modules.
  • To acknowledge, investigate and resolve complaints and support tickets.
  • To send service updates, security notices and, with your consent, occasional product news.
  • To meet legal, accounting and regulatory obligations.

We do not sell personal information, and we do not use institution data to train third-party AI models or for advertising.

Our website and platform use cookies and similar browser storage to keep sessions secure, remember preferences and understand aggregate usage.

  • Essential cookies keep you signed in and protect forms against abuse. The site cannot function without them.
  • Analytics cookies help us understand which pages and features are useful, in aggregate form.
  • You can clear or block cookies in your browser settings. Blocking essential cookies may break sign-in and form submission.

Sharing and disclosure

We share personal information only with the people and providers who need it to run the service, and only for that purpose.

  • Service providers such as cloud hosting, email delivery and payment processors, bound by contract to protect your data.
  • Professional advisers such as auditors and legal counsel, under confidentiality obligations.
  • Law enforcement or regulators, where we are legally required to disclose, and after review where lawful.
  • A successor entity, in the event of a merger or acquisition, with notice to affected users.

Data security

  • Encryption in transit using TLS and encryption at rest for stored data.
  • Role-based access control with audit trails, so staff see only what their role requires.
  • Regular backups, least-privilege internal access and secure development practices.
  • Monitored infrastructure with alerts for unusual activity.

No system is perfectly secure. If a data incident affects you, we will notify you and the relevant authorities as required by applicable law, and we will explain what happened and what we are doing about it.

Data retention

We keep personal information only as long as needed for the purposes in this policy, or as required by law.

  • Enquiry and complaint records are retained for up to 3 years after resolution for quality and legal purposes.
  • Institution data inside the platform is retained for the life of the subscription and exported or deleted on verified request after closure.
  • Billing records are retained for the period required by tax and accounting law.

Your rights and choices

Subject to applicable law, you may:

  • Request a copy of the personal information we hold about you.
  • Ask us to correct information that is inaccurate or incomplete.
  • Ask us to delete personal information where we are not legally required to keep it.
  • Withdraw consent for marketing communication at any time, using the unsubscribe link or by writing to us.
  • Object to or restrict certain processing, and raise a grievance if you are unsatisfied with our response.

Institution administrators can usually exercise these rights directly inside the platform. For everything else, write to our grievance officer listed below or use the complaints page.

Section 08

Children's data

Our services are used by schools, and some modules store student information. That data is provided and controlled by the institution, which is responsible for obtaining consents required by law from parents or guardians.

We do not knowingly collect personal information directly from children through this website, and the website is not directed at children.

Changes to this policy

We may update this policy to reflect changes in our services or the law. The latest version is always available on this page with the last-updated date shown at the top. For material changes that affect your rights, we will also notify institutions by email or through an in-product notice.
